At domein Walbrugge we handle your personal data with care. This statement explains, in plain language, which data we collect, why we do so, how long we keep it and what rights you have. It is drawn up in line with the General Data Protection Regulation (GDPR).

We reply as soon as we can, and in any case within the legal period of one month.

3. Which data do we collect?

We only collect data that we need to help you, to organise a booking or event, or to keep the website working. In practice:

Contact form

When you send us a message through the contact form, we ask for: name, email address, phone number and your message.

Quote form

When you request a quote, we ask for: name, email address, phone number, type of event, preferred date, number of guests and a free-text message.

B&B bookings

Bookings for our B&B go through Booking.com and through our booking engine MyLighthouse (bookingengine.mylighthouse.com/v2/walbrugge-tiegem). Those platforms collect the data needed for the reservation themselves (such as name, contact details, stay dates and payment information). We receive the information we need to prepare and run your stay.

Blog administration (staff only)

For secure access to the blog admin, we store the administrator's email address and an encrypted password.

Technical data

Our website uses Express.js session cookies (to make the site work), Google Analytics 4 and the LinkedIn Insight Tag (see section 10). Google Analytics and the LinkedIn tag only load after you give consent in the cookie banner.

We do not ask for special categories of personal data (such as health, religion or political opinions), unless you mention them yourself in a free-text message. Please avoid that unless it is truly needed for your request.

4. What do we use your data for?

We only use your data for clear purposes:

to answer your message or quote request;
to organise and carry out a reservation, stay or event;
to keep you informed about practical matters around your booking or request;
to issue invoices and meet our accounting and legal duties;
to keep the website running safely and technically;
to understand whether our LinkedIn campaigns work (via the LinkedIn Insight Tag);
to prevent misuse or technical problems.

We never sell your data. We do not use it for unsolicited advertising unless you give express consent.

5. On what legal basis do we process data?

Every processing activity has a legal ground:

Performance of a contract (Art. 6.1.b GDPR): quotes, reservations, B&B stays, events, and the related communication and invoicing.
Legal obligation (Art. 6.1.c GDPR): accounting, tax retention and any other legal duties.
Legitimate interest (Art. 6.1.f GDPR): to make the website work technically (session cookies), to keep it secure, to answer questions that are not yet a contract, and to measure our professional presence on LinkedIn. Your privacy comes first if those interests conflict.
Consent (Art. 6.1.a GDPR): for non-essential tracking, in particular the LinkedIn Insight Tag, and for optional communication for which we ask your consent. You may withdraw that consent at any time.

6. How long do we keep your data?

We do not keep data longer than needed:

Contact messages: up to 2 years after the last contact, unless there is an ongoing question or dispute.
Quote requests without a booking: up to 2 years after the request, so we can follow up later if needed.
Bookings, events and invoices: 7 years after the financial year, as required by Belgian tax and accounting law.
B&B reservations: as long as needed for the stay, plus the legal accounting retention period.
Blog login details: for as long as the account is active. If it is disabled, access is removed immediately.
Session cookies: until the end of your browser session.
LinkedIn Insight Tag: according to LinkedIn's retention periods; we do not keep an extra copy in our own database.

After that we delete or anonymise the data, unless we must keep it longer for a legal reason or a dispute.

7. Your rights

You have the right to stay in control of your data. You may always ask us for:

access: to see which data we hold about you;
rectification: to correct inaccurate or incomplete data;
erasure: to have your data deleted, where there is a valid reason;
restriction: to temporarily limit processing;
portability: to receive your data in a common format, if processing is based on consent or a contract and is automated;
objection: to object to processing based on our legitimate interest, including LinkedIn measurement.

Send your request to info@walbrugge.be. We may ask you to confirm your identity so we do not give data to the wrong person. We reply within one month. If your request is complex, we may extend that period once by two months. We will let you know if we do.

8. Withdrawing consent

If processing is based on your consent (for example the LinkedIn Insight Tag or optional communication), you may withdraw that consent at any time. You can do so through your cookie preferences, your browser settings, or by emailing info@walbrugge.be.

Withdrawing consent does not affect processing that has already taken place. For reservations, invoices and legal duties, processing may continue on another legal basis.

9. Lodging a complaint with the Data Protection Authority

10. Cookies and tracking

Our website uses a limited number of cookies and tracking tools. Google Analytics and the LinkedIn Insight Tag load only after your consent via the cookie banner.

Essential session cookies (Express.js)

These cookies make the website work technically, for example to recognise a visitor session. They are strictly necessary and are deleted when you close your browser. Legal basis: legitimate interest (Art. 6.1.f GDPR).

Google Analytics 4 (website statistics)

We use Google Analytics 4 from Google Ireland Limited (measurement ID G-DXDNTM0H5X) to understand how visitors use our website: which pages they view, which channels they arrive from and whether they request a quote or click through to our booking engine. Google may set cookies (including _ga and _ga_*, up to 2 years) and process your truncated IP address, browser and device data. We use Google Consent Mode: without consent, no cookies are set and no data is sent to Google.

This tool is not needed to use the website. Legal basis: your consent (Art. 6.1.a GDPR). You can opt out via your cookie preferences or with Google's opt-out add-on: tools.google.com/dlpage/gaoptout. More information: policies.google.com/privacy.

LinkedIn Insight Tag (tracking pixel)

We place the LinkedIn Insight Tag of LinkedIn Ireland Unlimited Company, with partner ID 9619338. This is a tracking pixel. It lets us see whether website visitors come from LinkedIn and whether our LinkedIn campaigns work. LinkedIn may then set a cookie and process your IP address, browser data and LinkedIn profile information (if you are logged in to LinkedIn).

This tag is not needed to use the website. Legal basis: your consent (Art. 6.1.a GDPR). You can limit tracking through your cookie preferences, your browser, or your LinkedIn account settings: linkedin.com/psettings/guest-controls.

Third-party booking engine

When you book a B&B room via our booking page, you are sent to the MyLighthouse booking engine: bookingengine.mylighthouse.com/v2/walbrugge-tiegem. That page may use its own cookies and tracking. MyLighthouse's privacy policy applies there, not ours.

11. Do we share data with third parties?

We only share data if that is needed to deliver our services, or if the law requires it. We work with these parties:

Google Ireland Limited — for Google Analytics 4 (website statistics) and Google Ads, as described in section 10.
LinkedIn Ireland Unlimited Company — for the LinkedIn Insight Tag (partner ID 9619338), as described in section 10.
MyLighthouse — our B&B booking engine: bookingengine.mylighthouse.com/v2/walbrugge-tiegem.
Booking.com — when you reserve a room through Booking.com. Booking.com is then itself the controller for the data you enter there. We receive the reservation details needed for your stay.
Brevo (Sendinblue) — our email service (SMTP) to send and receive messages from the contact and quote forms. Brevo processes email addresses and the content of those messages as a processor on our behalf.

Where needed, we put a data-processing agreement in place. Some of these parties may process data outside the European Economic Area. In that case we require appropriate safeguards, such as an adequacy decision or the European Commission's standard contractual clauses.

We may also share data if a public authority or court legally requires it, or to protect our rights.

12. How do we secure your data?

We take appropriate technical and organisational measures to protect your data against loss, misuse, unauthorised access or alteration. For example:

encrypted connection (HTTPS) on the website;
access to the blog admin only with login credentials;
passwords stored in encrypted form, never in plain text;
limited access: only people who need the data for their work;
reliable email delivery via Brevo;
regular updates of our systems.

No system is 100% watertight. If we discover a data breach that poses a risk to you, we report it as the law requires, including to the Data Protection Authority and to you where needed.

13. Changes to this privacy policy

We may update this statement from time to time, for example if our services, cookies or the law change. The latest version is always on this page, with the date of the last update at the top.

If a change is important for your rights or for how we use data, we will make that clear on the website or, where possible, by email. If you continue to use the website after an update, the new version applies.
